1 INTERGROUP MEETING MINUTES June 16, 2008 The meeting was called to order at 7:04 with a moment of silence followed by the Serenity Prayer. 2 TREASURER S REPORT Tom B., Treasurer, presented the report. Contact: treasurer@aapinellas.org Secretary forgot to include the letter from the IRS mentioned last month. She will include it in the July packet. CENTRAL OFFICE MANAGER S REPORT Paul S., Central Office Manager, presented the report. Contact: centraloffice@aapinellas.org, Paul announced that the S.A.R.A. (Salvation Army Cafeteria, th Ave S, St Pete, Mon 7PM) Speaker Meeting needs someone to fill the Chairman position. Tom, Off Your Chest Group, asked why we re selling non-conference-approved Anniversary Central Office. He also asked who makes the cards. Tom B. told him Intergroup voted to sell the cards a couple years ago while Warren was the CO Mgr. (Motion #2010, 8/15/05 To give Central Office authorization to order the initial 100 (anniversary) cards with the rack. Vote: For 28, Opposed 2, Abstained 0, Motion PASSED.) The name of the manufacturer is available at Central Office. UNITY MEETING REPORT Adele S., Unity Meeting Chair, presented the report. Contact: unitymeeting@aapinellas.org PLAIN AND STRAIGHT REPORT Sue A., Plain and Straight Chair, presented the report. Contact: plainandstraight@aapinellas.org Sue apologized to Bridget, Turner Street Group, for the misunderstanding as to why the article about the Speaker meeting (being held every 2 nd Saturday at Serenity Club) wasn t printed in June P&S. The article will be included in July P&S. WHERE AND WHEN REPORT Mike M., Where and When Chair, presented the report. Contact: whereandwhen@aapinellas.org

3 HELPLINE REPORT Steve C., Helpline Chair, presented the report. Contact: or Rosie, GOYA Group, asked why a woman who called the Helpline was never transferred to a live person. Steve explained that the caller must leave a phone number for a volunteer to call. The answering service is fully automated. WEB SITE REPORT Ed G., Web Site Chair, presented the report. Contact: webmaster@aapinellas.org Jim H, Our Common Problem Group, said that the Beach meetings come up twice when you search by day. Ed will see that the problem is corrected immediately. ANNIVERSARY DINNER REPORT Anniversary Dinner Chair, position vacant, no report. Contact: anniversarydinner@aapinellas.org PICNIC REPORT Picnic Chair, position vacant, no report. Contact: picnic@aapinellas.org GRATITUDE DINNER REPORT Gratitude Dinner Chair, position vacant, no report. Contact: gratitudedinner@aapinellas.org INTERGROUP LIAISON TO DISTRICT REPORT Tom H., Intergroup Liaison, presented an oral report. He attended the District One Quarterly and will submit his report to be included in July packet. ACCEPT/DECLINE ALL REPORTS Smokey, Feelings Group, made a MOTION to accept all reports. Rosie, GOYA Group, SECONDED the motion.

4 All in favor the motion PASSED. OLD BUSINESS 1. Election of Anniversary Dinner Chair (2 yr sober, 1 yr IG exp.) i. No one stood, try again next month 2. Election of Picnic Chair (2 yr sober, 1 yr IG exp.) i. No one stood, try again next month 3. Announcement of Election of Gratitude Dinner Chair (2 yr sober, 1 yr IG exp) 4. Status of 12 Step Group should it stay on meeting list? i. Much discussion ensued after Michael M. stated that when he attended the meeting, he didn t feel that any of the 12 Traditions had been broken. It was again brought up that this is a District issue, not an Intergroup issue. It was stated that if reading from the Bible is breaking the 10 th Tradition, then isn t saying the Lord s Prayer at the end of a meeting, also breaking the same Tradition? Should we eliminate ALL meetings that use the Lord s Prayer? Where should we draw the line? 5. Questions for groups who want to be added to meeting list i. Jim H., Our Common Problem Group, made a MOTION to form an Ad Hoc committee, comprised of the Where & When chair plus 4 volunteers from the Intergroup body, to create guidelines for listing new meetings on the website and in our Where & When. ii. Kate, Go After Your Sobriety Group, SECONDED the motion. iii. Only 5 votes FOR the motion the motion FAILED. iv. Minority Opinion: Jim H stated that many issues were discussed that had nothing to do with the actual motion. No one wanted to change their vote. NEW BUSINESS 1. Phone Referrals Statement of Policy (copy attached) i. Reps will bring it back to their groups. We ll vote to revise it or accept it as-is next month.

5 2. Gratitude Dinner venue choice (copy attached) i. Paul reviewed the results of his research for three possible venues (Minnreg, Maria Center & Holy Cross.) Since the dinner is coming up soon, we can t wait for a new chair to make this decision. ii. Smokey, Feelings Group, made a MOTION to use Holy Cross for our Gratitude Dinner in November. iii. Greg, Oldsmar Group, SECONDED the motion. iv. All in favor the motion PASSED. 3. District One wants to use aapinellas.org instead of making their own website. i. Tom H., Pinellas County Beginners Group, made a motion to accept $ per year from District One, to publish their information on aapinellas.org. ii. Melody B., Back Porch Lunch Bunch, seconded the motion. iii. All in favor the motion PASSED. Greg, Oldsmar Group, made a MOTION to adjourn the meeting. Sue Z., Countryside Group, SECONDED the motion. All in favor the motion PASSED. The meeting closed at 8:39 PM with the Lord s Prayer.

6 CHAIRMAN S REPORT June 3, 2008 The first item I would like to cover is the Gratitude Dinner. After our May Intergroup meeting, I received an from the 2250 Group. It appears that what I said last month was not conveyed as it was meant. So the bottom line is that we need someone (or some group) to stand for the position of Gratitude Dinner Chair. Please take this back to your groups. We will hold the election next month. I would like to think that I do not allow myself or anyone on the Steering Committee, to point the finger or single out any one member for problems that arise. We are all part of the Committee, therefore, we are all responsible. Once again, it is my opinion, that it makes no difference where any event is held, or who hosts it. Each event will be a success, just as they all have always been. We are still working on resolving the issues with the IRS. Reports and updates will come to you monthly from the Treasurer. The letter from the IRS that was mentioned last month is included in this month s packet. Lastly, I ll discuss the issue brought up last month, of too much focus on money at the Intergroup meetings. Of course there are many issues to be discussed each month. It is just my opinion that after all the hard work that s been put in by Intergroup over the past few years; we are in a better financial position now, than we have ever been. So many things were overlooked for so long that it has taken almost four years for us to get to this point, and we still have a lot of work to do. We must remember that it is the job of the Steering Committee to bring you the financial state of our county s Central Office. That will always be an ongoing topic. If representatives would like to discuss other items, please always feel free to bring them up. With your continued guidance and direction, I feel we will be in good hands for a long time to come. 7 TREASURER S REPORT Steering Committee Meeting June 3, 2008 Report for May, 2008 Main Points No word from IRS yet. Robert T. made payment on 2005 picnic debt. Showing large loss due to contributions we made, but this is to be expected. We have not had a reply from the IRS yet on the Form 990 issue. We will continue to stay on top of this. Robert T. came by Central Office and paid $60 on the $80 outstanding debt he has from the 2005 picnic, leaving $20 he still owes. The large loss we re showing this month is due to the $4,000+ contributions we made in May and is to be expected. Our YTD loss is small and we are still doing fine financially. Tell me about it or it to me and I ll publish in the Plain and Straight. - Articles should be submitted no later than the last day of the previous month. Don t throw out old issues Activity for last month o 6 Group requests o 4 Additions o 0 Changes o 2 Deletion The best and most efficient way to present additions or changes to the Where and When is to fill out the form on the website. For changes: For new meeting: Please include a contact Name, Phone #, and address in case we have questions. If there is no access to a computer please call the Central Office to make the addition/correction. If you have provided an address a notification will be sent asking that you check your updated meeting information on the web site. If it is not correct respond back and I will make the necessary changes. It is important to inform me, or the Central Office if a group stops meeting. We want the Where & When to as accurate as possible. Please convey this at all meetings you attend. 17 Intergroup Meeting Minutes June 16, 2008 Helpline Report May 2008 Presented for the June Intergroup Meeting Pinellas County AA Helpline was staffed during the month by: 40 volunteers And 2 AA twelve step groups Call Statistics for May 2008 Total Inbound Calls : 465 Total Inbound Calls equals the number of inbound messages left by individuals seeking helpline assistance when Central Office was closed or their phone lines were engaged (when Central Office s phone lines are in use calls roll over to the answering service). Calls not accounted for are calls to volunteers from the answering service. We have had a slight change in the requirements for helpline volunteers this month. Unfortunately all volunteers must now have a local area code (ie: 727, 813, 941). This is due to the referral system at Answer Florida. Pasco County and other local area codes are considered long distance and we cannot afford the additional charge that would be applied to our bill. Here are the actual Helpline shifts: Monday-Friday 7 am - 10 am, Monday-Friday 10 am 6 pm, A.A. Central Office is open, dispatches to office number Monday-Friday 6 pm 7 am, Saturday & Sunday 7 am 2 pm, Saturday & Sunday 2 pm 6 pm, Saturday & Sunday 6 pm 7 am, Thank you for allowing me to be of service, Stephen C. Sample screenshots are attached to this report. Statistics There are sample web site pages attached to this report to show what the new meeting search will look like. It will list all the meetings matching your search criteria, show them in a pinpointed map, and list them in the traditional matrix fashion.
