1 Executive Board Meeting Minutes September 18, 2:30pm In Attendance: Julia Cranford, Jessica Dedrick, Beth Gould, Lisa Johnson, Gwen Dorman, Kay Maunder Call to order: 2:46PM Approval of Minutes: - Minutes from the June 29 meeting were approved Vice President Elections: - Nominations were provided - One accepted the nomination Claire Hudzinski - Approximately 60 votes cast to approve Claire - Announcement made at September 25 th Family Night Celebration Pirate Bash/Family Night Celebration: - Games outside (corn hole, pirate ring toss, etc.) - Clayton s have the food covered - 5 th grade will be providing ice cream/popsicles - Make sure announcement made to bring CASH - Potential opportunity to provide a discount on food ($1 off) for joining PTO Memberships: - Wicker s class is winning - Prize is $50 Amazon Gift Card - Announcement will be made for winning teacher at Pirate Bash Go Play Save: - Jessica will contact those that offered to help - Packets will be prepared Friday, September 21 st - Labels will be printed by office Kids Night Out - Time will be from 5:30 to 8:30 price is $12 and includes pizza and beverage - Halloween Theme - All children will be at school split between gym and cafeteria based on grades - Movie options for the gym Casper, Adams Family, The Worst Witch, Halloween Town - Craft options plastic pumpkins, or possibly real mini pumpkins decorated with sharpies and stickers - Needs: permission slip, flyer, Facebook post, volunteer signup

2 Book Fair: - Begins October 19 th - Theme is Enchanted Forests All Pro Dads: - Evening event on October 23 rd 6pm-7pm - PTO will provide popcorn and cookies - Bottled water/beverages Not So Small Mall Notes: - See attached Big Tree: - Still figuring out what to do with what is left- sculpture ideas - Also working with Durham County and DPS to see what options we have for shade, whether it is allowed (impervious surface restrictions), and if allowed, DPS will install - A 6 foot piece has been left at a mill to dry out and create a bench/plaque/something - Numerous branches will be cut into coasters/ornaments and possibly sold by 5 th grade to raise money for the DC trip Beautification: - Ask Ray Klumb and if he is not interested Christy and Damian Holder possibly - Plan to level and add gravel to the track out front in advance of the Fun Run on September 21 st Box Tops/Coke Rewards: - Jessica will touch base with Erica Murray and obtain the log in information - Then reach out to Jeneane Jones- Morris to manage - Touch base with Samantha Baker to manage Coke Rewards - Plan to reward the teacher with the most Box Tops instead of the class since they will be the ones to push the drive DPS PTO Meeting: - Julia attended and received some good information - Signature Classes and Resources DPS Family Advocacy Office provided helpful info - Sparkpoint Science another option - CAPS options Mangum receives $660 per school year for CAPS programming can look into options for during the school day to provide additional assistance if needed o Was a good aerialist group that had storytelling as well Grade Parents and Staff Favorites: - Grade Parents are set - Staff favorites are still needed from some teachers Julia will provide list and Gwen to followup Treasurer s Report - Annual Audit is complete still no report provided to date - Will post online and in PTO notebook when available - Budget is set and there were no questions Family Nights: - Biscuitville October 16 th - Five Below December 2 nd -8 th

3 - Mellow Mushroom November 19 th - Both Picnic and City BBQ have been contacted for additional family nights - Plan to offer a drawing for the attendees at family nights. Will need to determine how to do this, whether they put their name in a box at the restaurant? It will encourage attendance and be incentive to go. Recommendations - Starbucks gift cards, small toys, etc. December Teachers Lunch Out: - Contacted Picnic and they can do it, although would be outside - Gwen suggested she preferred the Pit as there were options to move around and mingle - Other options: City BBQ, Gonzas Principals Update: - Fully staffed - Treasurer Chest Communication options- Teachers receive a weekly newsletter, so that is an option to provide information out to staff as well - address MangumElementarySchool@dpsnc.net goes to all staff at Mangum - Staff Grade Shirts would like to see how many teachers would like the staff shirts. o Gwen will offer to staff to get responses o Use money left over from staff shirts to purchase these for teachers - Gwen plans to offer volunteer options for Kids Night Out and Not So Small Mall in exchange for taking leave for the two hurricane days Adjourned: 4:41PM Respectfully Submitted by Jessica Dedrick, Secretary

4 Not So Small Mall Updates September 18th, 2018 What is Done : Banner orders and road signs but might order a couple more. Set up Events on Facebook, etc Vendor spots are full We are extending to the 4th-5th grade hall with some vendors and putting concessions there since Goodwin wants to do the ice cream truck. She has been asked to do all of the concessions. Hot dogs, etc. Proceeds go to 5th grade field trip. Question, since we usually profit some from this, do we take a percentage? It doesn t matter to me... All of the ones who signed up to help have been contacted. A couple of people signed up. The Sign Up Genius has been set up. Link was sent to Mrs. Dorman to send to staff Have spoken to Cori Dary to do cookies for the vendors. We always give them a thank you, She is going to do it again this year. Concessions: Dough Boyz Donuts and Libby Sweet Treats Chuck McLeans BBQ will be sold- We will also have Libby's sweet treats for sale that day also. Signup genius has been sent out. We might need a couple more drivers, but I am available to do it if needed. * Need to talk to Emily Ellis- she typically does breakfast items and baked goods. To Do List: We need a total of 15 tables that people have rented (can t rememebr how many the school has) This is not including what 5th grade might need. Volunteers (who, what, when) Signs for the tables (Will be done later, once everyone is confirmed) Get painters tape to tape off the floor Secure Janitor for the Day of. Usually pay them $100 This needs to be given to them the day of. Send home flyers to students Kelly Horton is contacting Ruritan about parking, but maybe when we secure building for Kids Night Out, someone else can ask? Kill two birds with one stone? Add logos to the website, etc. In process of doing layout, but it has been started. Waiting to find out from Sandy G if they are doing concessions.

5 Set Up: 1) We usually have access to the cafeteria and gym on that Friday to tape everything off. We will have to start the gym first because of the 4th grade Ag fair. 2) Tables will need to be pushed (On Friday afternoon once kids are gone down the third grade hall). But as soon as the 4th grade fair is done, we need to haul fanny :) 3) Vendors set up Friday, November 16th from 5:00-8:00 p m (promptly). The bulk of the set-up should be done on Friday. I tweaked time because it might take us longer to tape and clean up before vendors load in. 4) Vendors will not allowed to park in the Mangum Elementary school parking lot on Saturday, November 17th. We do have a couple that need handicap accessibility. 5) Doors will open at 7:30 am Saturday and there will be drivers to transport you to Mangum from the Ruritan Building. ** Please let office staff know we are full if anyone happens to call the school inquiring. WE ARE SOLD OUT! :)
