2 Catalging Plicy and Prcedures I. Intrductin This catalging plicy manual is intended fr use in the Our Lady f the Valley Cathlic Schl Library Media Center in the Dicese f Birmingham in Alabama. The library will supprt the curriculum by cllabrating with teachers, develping a cllectin that is representative f the cmmunity, and implementing literacy instructin fr students. 3 Ratinale The purpse this plicy and prcedures manual is t achieve verall ease f accessibility t materials by catalging them in a way that is cnsistent and accurate. The manual will serve as a framewrk fr catalging materials in the library in rder t achieve maximum efficiency and access fr all patrns. As a result, current and future library staff members will have a seamless transitin f leadership and rganizatin withut jepardizing the maximum benefit f materials being accessed with ease by patrns. Descriptin/Overview Our Lady f the Valley Cathlic Schl is small enugh t ffer a nurturing cmmunity f faith and learning, yet large enugh t prvide expansive facilities and resurces fr the many educatinal pprtunities awaiting the 330 students currently enrlled in preschl-grade 8 (295 in K-8). The schl envirnment is cnducive t learning with a 10:1 pupil t teacher rati (K-8) and an average class size f 16 students (K-8). There are tw hmerms in each grade. There are 40 faculty members including administratin, teachers, and teaching aides. The Our Lady f the Valley Cathlic Schl Library Media Center is lcated within the main schl building and has apprximately 13,500 bks, 10 peridicals, and 520 audivisual items.. The nnfictin wrks are arranged using the Dewey Decimal Classificatin system(ddc); fictin is arranged separately by authr. The library is currently autmated thrugh the Fllett Destiny system. The OLV library is n a fixed/flexible schedule. Students in grades PreK-5 attend library class nce a week fr 30 minutes. Students in grades 6-8 attend class nce a week fr 45 minutes. The library is always available fr scheduling n an as-need basis and pen t all students and faculty at any time f the day. The facility cnsists f a PC lab f 12 cmputers, a clr cpier, a clr scanner, a stry time area, 2 cllabratin/classrm areas, and a prfessinal resurce area. It als cntains a laminatr that may be used by any staff member. The cllectin cntains fictin, nnfictin, reference, bigraphy, prfessinal resurces, and DVD/VHS/Audi resurces. The schl library als circulates equipment and technlgy items t all staff members including 2 ipad carts, 3 MacBk carts, and 1 Dell laptp cart. II. Descriptive Catalging Plicies Rules and Standards f Catalging RDA (Resurce Descriptin and Access) Rules will be used as a catalging standard. RDA Cre Elements will be required fr all bibligraphic recrds and MARC recrds. The Library f Cngress Authrity Files will be used t create descriptive access pints fr bibligraphic recrds. All materials shuld receive full level catalging. The Sears List f Subject Headings will be used fr authrity cntrl f subject headings. Surces f Catalging

4 MARC recrds and/r full catalging shuld be rdered thrugh vendrs when available. Fllett s Alliance Plus may be used t lcate MARC recrds when cpy catalging. Cpy Catalging Refer t the Fllett Destiny manual r the Destiny e-learning mdules fr instructins n imprting MARC recrds frm Fllett s Alliance Plus. If Fllett s Alliance Plus has inadequate MARC recrds, search the Library f Cngress catalg fr MARC recrds t cpy. Check the cpied recrds fr accuracy, cmparing the recrd with the item. Particularly nte that the ISBN, title, cpyright/publicatin, and physical descriptin match. Use the Steps t Cpy Catalging checklist t ensure accurate recrds. Original Catalging Original catalging will fllw RDA standards and rules. Access Pints/Subject Headings: Library f Cngress and SEARS Sears List f Subject Headings will be the resurce referred t fr finding subject headings. When vendr prvided catalging is dne, the assigned subject headings will be used. When riginal catalging is required each item will be reviewed and the number f subject headings that seems apprpriate will be assigned. Nnprint Items Vides and Digital E-bks These nnprint items will be catalged the same way that print materials are catalged, using the same frm f classificatin. Technlgy and Equipment These nnprint items will be catalged using an accessin number and barcde. III. Subject Headings Plicies Sears List f Subject Headings will be the authrity fr creating and finding subject headings in the recrd. When vendr prvided catalging is dne, the assigned subject headings will be used. The catalger will review the prvided recrds t validate subject headings. When riginal catalging is required, each item will be reviewed and the number f subject headings that seems apprpriate will be assigned using Sears guidelines.

5 If Library f Cngress Subject Headings fr Children (LCSHC) are prvided in cpy catalging MARC recrds, the headings will be cmpared and adapted t the apprpriate headings frm the Sears List. MARC recrds will be checked and edited t cntain Curriculum Enhancement Ntes (particularly in MARC fields 520, 521, and 526) in rder t enhance patrn searches. These ntes will adhere t RDA standards. IV. Classificatin The Abridged Dewey Decimal System will be used t classify nnfictin (with the exceptin f bigraphies) and reference materials. Catalg recrds and spine labels will have the full call number. Cutter #: This will be the 1st 3 letters f the authr s last name. Paperback and hardback materials f all genres will be classified alike and interfiled. Call Numbers will include letter symbls t represent the particular cllectin t which the item belngs, fllwed by the Cutter #. These bks will be filed alphabetically by Cutter # which appears after the call numbers belw: Easy Fictin (E + Cutter #) Fictin (FIC + Cutter #) Juvenile Nnfictin (J + DDC # + Cutter #) Nn-fictin (DDC #) Audi Bks (AB + DDC/Cutter #) DVDs/VHS Fictin (VT + Cutter #) DVDs/VHS - Nn-fictin (VT + DDC #) Audi (CDs) (CD) Prfessinal Develpment (PROF + DDC # + Cutter #) Reference (REF + DDC # + Cutter #) On-line and e-bks (EB + DDC/Cutter # ) Graphic Nvels ( Cutter #) Shelved in genre-specific area. Acquisitin Prcedures Items will be acquired based the Selectin and Cllectin Develpment Plicies f the Our Lady f the Valley Cathlic Schl Library Media Center. Bk Fairs The library media center will hld tw Schlastic Bk Fairs during the academic year (Fall and Spring). Items acquired thrugh Bk Fairs will be catalged using cpy catalging prcedures. Dnatins and Gifts

6 Parents, rganizatins, and friends f the schl may wish t cntribute funds, gifts, r memrials t the library. Our Lady f the Valley Cathlic Schl welcmes such invlvement; hwever, the gifts and memrials must meet the established selectin criteria. Items acquired in this manner will be catalged using cpy catalging prcedures. Prcedures fr Prcessing Items A. Cpy and Original Catalging Prcedures Standards: RDA will be the standards cntrl system. All bibligraphic recrds will be prduced in MARC frmat. Full level catalging will be used. Subject Headings will cme frm the Sears Subject Heading List. Fllett s Destiny will be autmatin system used fr catalging all items. MARC recrds will be matched, cpied, r created using Fllett s Alliance Plus. The Library f Cngress Catalg will be used if this resurce is unable t be fund in Fllett. If riginal catalging must be perfrmed, the catalger will use RDA standards, LC Authrity files, and Sears Subject Headings t create riginal MARC recrds. See the Fllett Destiny manual fr imprting preprcessed MARC recrds. 4. Brken in (See Brdart s Instructins). 5. Prcessed using the checklist belw. Checklist fr Prcessing a bk int the Library 1. Determine if we need t cver the bk. If s the labeling must be dne befre the plastic cver is placed n the bk. 2. Stamp with OLV Library stamp. Put stamp inside the frnt cver and back cver, n the title page and smewhere inside the bk, apprximately in the middle. 3. Add the spine labels and cver it with clear label prtectr if necessary. Use Capital and Lwer case letters n the label as shwn: Fic 501 B E Pat Pat Pat Pat 4. Add barcde accrding t the assignment made by the publisher r if n assignment use new barcdes that are printed thrugh Fllett s Destiny. 5. Add stickers t spine t label t designate fr awards, middle schl r juvenile nnfictin. 6. Add transparent bk cver if necessary. If n cver is necessary, cver spine labels with prtective transparent label. 7. Make labels t put n back inside cver with call number, authr, title f bk and barcde. Ex: BC# Fic Ellswrth, Lretta Ell In a heartbeat 8. Display new item n the Just Arrived shelf in the library.

8 C. Unprcessed Materials Items that arrive withut prcessing shuld be: 1. Verified with the packing slip. 2. Checked fr technical quality. 3. Add the title t the Destiny Online Catalg. Use MARC recrds fund in Alliance Plus r the LC catalg. If n recrds are fund, create an riginal recrd. 4. Use the checklist belw t cpy catalg in Destiny: a) Under catalg tab click Add Title in the side bar. b) Chse t search by ISBN number fr the title f the bk. If nt fund chse bk title r then authr t find title infrmatin r MARC recrd. c) when title is lcated click n it. Save. d) edit title if needed fr series, award, r extra subjects and save. e) Click add a cpy and enter the infrmatin in the fields f barcde, call number, price, vendr, sub lcatin. Save. f) Check t see if title was accurately entered scan barcde and be sure the recrd appears. 5. Use the prcessing checklist n the previus page t accessin the item int the library. VII. Sharing Items Plicy This catalging plicy and prcedures manual is designed fr the use f the Our Lady f the Valley Cathlic Schl Media Center. Other libraries within the Dicese f Birmingham in Alabama use different autmatin systems, therefre interlibrary lan is nt a service prvided at this time. 24/7 access is prvided t the nline catalg and all members f the cmmunity may use it at any time. Several digital e-bks may be directly pened frm the nline catalg and are multiple, simultaneus use. Patrns have the ptin t create lists and request items fr checkut at any time thugh the nline catalg. The catalging plicy and prcedures will be shared with all stakehlders including the schl advisry bard, administratin, parents, teachers, and parents. The manual will be psted n the library website ( fr all stakehlders t access at any time. VIII. Respnses t changes in catalging rules r standards. In regards t changes in subject headings, the Library Media Specialist will check the new editin f the Sears List f Canceled and Replacement Headings. The Library Media Specialist will then have the autmated system perfrm a "glbal update" t check fr these updated subject headings. Fr changes regarding MARC frmat, the Library Media Specialist is t cnsult the Library f Cngress: MARC Standards website. Library Media Specialists will update recrds as the need arises (i.e., during check-in and check-ut f items and inventry).

Review f Plicy The fllwing parties will be invlved in the review and adptin f the catalging plicy and prcedures: Library Media Specialists, administratrs, and cmmunity prfessinals in the library field. The catalging plicy will be brught up fr review every five years r when members f the catalging plicy cmmittee deem necessary. The principal and the schl librarian will review the Catalging Plicy and Prcedures every five years r whenever there is a change in persnnel (Library Media Specialist). Revisins will be made at that time if required. There will be an annual review f this plicy by the Library Staff with ultimate apprval f the Library Directr at the end f each schl year (during the last tw weeks f schl in June). This will allw fr revisins and updates as necessary. This plicy manual will be reviewed and evaluated at the end f every 5 th schl year r whenever is necessary, r when there is a persnnel change. Changes t the plicy manual will be addressed at meetings with the current Library Media Specialist, clerical staff, and administratin representatives. X.
