18 Frequently Asked Questions Event Space What does the event space include? Event space includes the use of chairs, tables, ivory linen, and all flatware, glassware, and china. We also will provide a dancefloor and staging for either a head table or band. What is the room rental fee? While we do not require you pay a flat room rental fee, we do set a food and beverage minimum in place that needs to be met. What is the maximum number of people you can accommodate for a sit down dinner? Our Marquette Ballroom, which is the largest, can accommodate up to 440 guests at 44 rounds of 10. Our Cotillion Ballroom can accommodate up to 220 with rounds of 10 and our junior ballrooms, LaSalle and Cheminee, can accommodate up to 120 individually. Are there other events scheduled on the same day? W e do have several event spaces and as such, there may be more than one event occurring per day. Can we access the venue for planning, measuring, etc? We welcome the opportunity to show and/or provide access to our event space. To ensure access, we ask that you make an appointment with your Event Manager. Our event space is very busy throughout the year. How early can we get into the ballroom the day of the wedding? Due to our event space being busy, access times are dependent on the spaces that are available and when. If working with a décor company, your event manager will be happy to plan access times with them directly. Are we allowed to bring in candles? Candles with contained flame are permitted. Food and Beverage How many different entrees can I select? Three different entrees may be selected for a plated meal at no additional charge. The same appetizer, salad, and sides are served to all guests with their selections, unless dietary restrictions need to be accommodated. An additional vegetarian option may be added at no added cost. 19 Frequently Asked Questions (Continued) Food and Beverage Wedding Packages - Is there any flexibility with them? Yes, these packages are simply a guideline. You are welcome to customize or mix and match to get the best package that fits for you and your fiancé. Can we bring our own food or caterer? Due to licensing, health regulations and insurance requirements, all food and non -alcoholic beverages served must be supplied and prepared by the hotel. In addition, no remaining food or beverage may be removed from the premises. The only exception is your wedding cake or any other desserts you may select in lieu of cake. Fees, Policies, & Procedures Can a date be held for me? Is there a deposit needed for this? Yes, we will gladly put a date on hold for you for up to two weeks. As a courtesy, there is no deposit needed for this. Once there is a signed agreement, a deposit of $1,000 would be due. What is the payment schedule? A $1,000 deposit is due at the signing of the contract and the final payment is due the Wednesday prior to your event to include your final guest count. An advanced deposit schedule will be created based on your needs. What is the service charge? The service charge is a labor charge on all purchased items, event space fees, and equipment rental, and includes event planning, set up, meal service, clean-up labor, and gratuity. It is 23% of your total bill charged before tax is applied. When is our guaranteed attendance needed? A final guaranteed number of attendees for each meal function is required 72 hours (business days) prior to the event. Guarantees for Sunday, Monday, and Tuesday are required by noon on the previous Friday. If a guaranteed number is not supplied within this time frame, the Hotel will assume it to be the most recent figure it has received. Room Nights Do the bride and groom get a fee night in your hotel? Yes, the bride and groom receive a complimentary night (in a suite, subject to availability) at the hotel the night of their wedding. Additional nights may be purchased at preferred rates (Subject to availability). Do weddings guests get discount guest rooms? Yes, there are preferred rates that wedding guests can take advantage of when you book a block of rooms.
