1 Addendum-1, West Aurora 129 Print RFP 1. There are no dates in the RFP. Do you have a timetable for all of the typical activities (due date, approval date, implementation date, etc)? Due date is Other dates would be determined after evaluating the proposals. 2. Besides the volume stated for the print shop, there are no other metrics for volumes (b/w & Color) on the MFD's and the network printers, and no quantities are listed for any of those devices. Can I use the same metrics that I collected previously, or will you be sending something out that is more current? What about any "right-sizing" goals? Use the same metrics you collected, they are generally accurate. 3. What about the buyouts from the current Konica Minolta lease? Do you have those values or do you own those units now? We would like vendors to buy out the equipment. We can provide lease information upon request. 4. For the production center, do you want us to include a software solution to get jobs to the print center electronically? What are your requirements for this solution, since there are several alternatives? Yes, please, we are allowing the experts in printing to propose solutions for us to consider we are not in the printing business, you are. 5. Are you planning any type of a "pre-rfp" meeting to field questions or to conduct any walkthroughs? We are available to meet at your request. 1. Can you provide a list of your current equipment with Manufacturer, Model, Monthly Volumes, and location, for both the Print Center and District Buildings? Please see below. 2. How many buildings will have digital copiers? Are floor plans with equipment locations available? Floor plans are available upon request 4. What is the expected Color Volume in the Print Center? District buildings? The district does not expect aggregate print volume to change, but would like to see more color printing moved to a proposed print center. 5. Implementation dates?: The district would like to begin implementation of the MFP devices after There is no firm timeframe set out for the centralized print shop at this time.

How many Windows workstations/laptops? o How many MACs? o How many users in AD? o Do you have a cluster print server environment? o No 7. Do you want to charge back departments / schools for usage? o Not at this time, but we may eventually 8. Do you want pop-up messages to put in codes or reroute jobs based on size i.e. to print center? o Not automatically at this time, but we would like reminders that jobs can be more economically printed elsewhere. 9. Do you want centralized print release for all staff and students? o Yes, if I understand this to mean that jobs would be held on the server pending release through authentication at the device. 10. Will students have HID cards? And will Students be required to authenticate to print? o No, and yes 11. How many users will need to submit jobs to the print center? o At least What thought has the district (Curriculum/Teaching and Learning) given to standardized tests and materials for students? Catalog printing? o Quite a bit, most testing is online at this point, although some CFA s are using bubble sheets and Scantron at this point. We require clarification around catalog printing for education.

The district is looking for a solution, please refer to the RFP Specific features that you must have in a Print Management Solution? Please refer to the RFP 7. Do you have a minimum number of staff members for the Print Center? No. 8. What is the current make up of your current Print Center? Number of staff, shifts, services provided, etc. The district does not currently have a print center that serves the entirety of the district s locations. The district does have a centralized print solution at the high school, but is not of the opinion that the staffing model at that location would be a significant data point for the purposes of this RFP. 9. What equipment are you currently using in the Print Center? Konica Minolta, see below for details What accessories are on your current equipment? Offline tape binding and drilling 10. Is there a point system to determine the winning vendor? The district will employ a methodology for determining the winning vendor. 11. Are you considering multiple vendors? Yes Equipment vendor?
