Please refer to the attached Release Notes for further detail. This package is also posted on the Message of the Day and on REALTOR Link. Your office has received a wall map and a jurisdictional wall map today. The new version of the folded, wall and jurisdictional maps are now available for purchase at the Board Office. The prices of the maps are:- Folded Maps Wall Map (Coated) Jurisdictional Map (Coated) $4.10 + HST $25.25 + HST $16.50 + HST Please use the order form dated August 25 th to order any additional maps. MLXchange Release Notes District/Neighbourhood Code Changes Thursday, September 1, 2011 Why? With the growth of housing developments at the perimeter of the amalgamated City of Ottawa, it was recognized that a review of the district/neighbourhood codes would be beneficial to allow members to more accurately market their listings. The proposed changes will better reflect the reality of the nature of our expanding city. The areas affected by the changes to the district/neighbourhood codes are listed below. When? The changes will occur on Thursday, September 1, 2011, in the morning. The MLXchange system will be unavailable from 5:00 a.m. to 10:30 a.m. on that day. Please note GeoWarehouse will also not be available during this time period. What other services will be affected? As this upgrade involves changes to over 14,000 listings it is expected that the delivery of services by Third Party providers (Top Producer and the Chubb EKey Pro service) may be delayed for a day or two. Offices that receive data feeds from the Board for their websites may also experience a delay for one or two days while the changes are being compiled and implemented by your web providers. The Board public website will be down starting at 11:00 p.m. for approximately 4 hours. Who should receive this information package? All members, office administrators and technology consultants for members firms should be advised of these changes. How are the listings being converted? In the past year, the Board has dedicated resources to create a set of electronic polygons for the district/neighbourhood codes. These polygons are currently in use on the new map search on the Board s public website (www.ottawarealestate.org). Each listing in the affected area has a GPS co-ordinate and that combined with the perimeter information for the codes is used to determine which code the property should fall into. All property classes and statuses in the affected areas will be automatically converted during this process. Updated District/Neighbourhood lists are available on REALTOR Link. What do I need to do? After the changes are implemented and MLXchange is accessible, it will be very important for you to review all of your prospect matches to see if you need to add or delete any district/neighbourhood codes to reflect the areas of interest to your clients. You should also review all of your active and conditionally sold listings to ensure that they are located in the correct, and in some cases new, district/neighbourhood code. Page 1 of 4

A wall map and jurisdictional map were provided to each office on August 25 th. A limited supply of wall and jurisdictional maps are also available for sale at the Board Office.
