2 Introduction: ChemGes has a Database of ca. 22,000 Raw Materials (RMs) These are taken from official lists and major data compilations (i.e. legislative lists, Merck Index ) The insertion of new RMs takes only a matter of minutes they are then ready for use in formulations, permanently. ChemGes also facilitates the use of preparations as RMs within preparations, by simply generating a formulation as per usual (see Power Point Presentation on Creating a Preparation). 3 Steps for Creating a new Raw Material: 1. Set up the Database Entry Enter either a CAS number or ask ChemGes to assign an Internal number (F5 Next substance number)
4 Data Entry 2. Fill in any available information: The more database fields that are filled in, the more information ChemGes has for use in calculations for the classification of preparations in which the raw material is used. Information must come from trusted sources, such as the supplier/manufacturer or your own data, By clicking into (or choosing via the field Field Number), the various database fields, these can be opened for entry of classification information or substance data. Translations of definitions can be entered by pressing F1. These are the definitions of the markings which can be assigned to your substance definitions and synonyms.
5 A. Database Data Database pages can be accessed by either pressing F10 or pressing 1 to 9 to enter specific database pages. These are for the entry of substance specific information, beyond the classification. ChemGes uses some of this data, in addition to the classification data, in to calculate the classification and physical data of any preparation in which this raw material is contained. This information also aids in the output of information in an SDS. Two pages of Physical Data provide ample space for physical details.
6 TLVs must be manually input with every new substance entry. It is also possible to enter Group TLVS and Codes for Biological Limit Values. Additional TLVs (Insert) and Substance Listings (F10 - Insert) can be entered for both new substance and default substances. Such data must be maintained manually. A heading must be assigned to new substance lists, in order for these to be output. This can be done by creating a new Heading for the substance list (Maintenance Program - Safety Data Sheets - Headings) and then allocating the heading to the substance list when creating the substance list. For all substances which are by default part of the ChemGes database, TLVs are automatically updated with each major Update, unless the information has been locked to avoid such a change. Substance listings are also updated automatically but cannot be locked. TLVs are locked in the maintenance screen
7 Toxicological values are added bypressing Insert Additional test types and species must be set up in Maintenance Programs Program Adjustments Definitions for the toxicology. One can switch to alternate languages and input translations, for both the species and the comment. In addition, it is possible to allocate target organs. These are the fields for the entry of any countryspecific data. This data is output on the SDS as needed. Please note, this is where the Registration Number as per REACH requirement, can be input for output on the SDS (as long as the output of the registration number is activated in the Maintenance of Countries) As we cannot know the REACH registration number assigned to you for this substance, we cannot input this information automatically
8 B. The GHS Classification and its many country variations: Activate the classification. Grey fields indicate Classes/Categories that are not present in the specific legislation. Be careful to activate it for all countries, unless you are certain it only applies to one. Upon choosing Hazard Statements, ChemGes automatically outputs the corresponding Classes, Categories, Pictograms and Signal Words as well as P- phrases. Next you can adapt the P-Phrases that were automatically assigned.
9 C. The DSD Classification This screen facilitates the input of the DSD classification from EU Directive 67/548/EC and associated data (this old system is now hardly used). - Hazard Symbols are filled in automatically, as R- phrases are chosen. - Only activate the Automatic calculation from GHS if you are certain that there will not be any problems resulting from classification discrepancies between the DSD and the GHS. - If you enter a GHS classification for your substance, this option is automatically activated and the DSD classification calculated.
10 D. Transport Classification - Here you can enter the transport classification manually, based on your data, or ask ChemGes to make a calculation (we recommend verification). - Empty fields do not indicate that a substance is not a hazardous good. - In order to indicate that a good is not hazardous, one must enter a hyphen(-) in the field Class, for each mode of transportation. - In the Name field, one can enter the substance as a Hazard Trigger if it is to be considered a Hazard Trigger in preparations. - If a substance is used in a preparation and this substance does not have a transport classification, ChemGes will calculate the missing classification based on a worst-case scenario, for the substance, if the appropriate settings are activated (see Transport Power Point). E. NFPA / HMIS Enter here, the data for NFPA and HMIS
11 3. Using the raw material within a preparation (search by CAS Number, Name, Product Code or Fictional CAS Number): A raw material can be chosen in the formulation screen via CAS Number, Name, Product Code or fictional CAS Number. In order to enter the Maintenance of Raw Materials for a specific substance in the formulation screen, click on the substance and choose the option Maintenance of raw materials. Keep in mind that changes done to raw materials which are contained in a preparation, will only take effect in the preparation if the automatic or manual update implements them. (Maintenance Programs Program Adjustments General classification options (Options 1 to 6).
12 Substances in formulations can be automatically switched out, via the Exchange Program for the Exchange of Ingredients.
