1 VLVνT08 International Workshop on a Very Large Volume Neutrino Telescope for the Mediterranean Sea Palais Neptune Conference Centre Toulon, Var, France: April 2008 FINAL WORKSHOP BULLETIN The VLVnT08 international workshop on a future Very Large Volume neutrino Telescope in the Mediterranean Sea will be held between April 22 nd & 24 th, 2008 at the Palais Neptune Conference Centre in Toulon, France. This workshop will follow on from the previous workshops held in Amsterdam and Catania. The workshop will review the status of studies already under way in a number of European countries on the physics and technology necessary for the deployment of a cubic kilometre-scale telescope for neutrino astronomy and a platform for sea sciences at great depth in the Mediterranean Sea. VLVnT08 will welcome scientists, engineers and students from numerous universities and institutes, including those already involved in the three present Mediterranean neutrino telescope projects; ANTARES (La Seyne sur Mer, France), NEMO (Sicily, Italy) and NESTOR (Pylos, Greece) as well as from the ICE CUBE and Lake Baikal neutrino telescopes. The workshop will also represent a forum for exhibitions and presentations by industry, notably manufacturers of underwater sensors and infrastructures, and providers of related underwater services. The workshop will be hosted by the Centre de Physique des Particules de Marseille (CPPM - CNRS/IN2P3). The workshop scientific programme is divided into two days of plenary sessions and one day of parallel sessions. 2 The Palais Neptune Conference Centre, Toulon Topics and Program The workshop is devoted to survey the field of experimental neutrino astrophysics. We will discuss the physics requirements and technologies to be employed in the construction of very large volume underwater high energy neutrino telescopes.. The workshop programme has been defined by the International Scientific Advisory Committee and the parallel session conveners. Topics to be discussed include - the status of current high energy neutrino detector projects; the status and perspectives of high energy neutrino, gamma ray and cosmic ray physics; the status of marine science projects related to deep sea infrastructures; the development of software simulation and data analysis tools (neutrino fluxes, H.E. neutrino interactions, event reconstruction, detector design parameters, acceptances and resolutions ); detector engineering (optical sensors, detector architecture, mechanics, acoustic positioning, quality assurance ); deep sea and sea surface infrastructures and engineering (electrical power system, cables and connectors, sea operations and shore installations); Information technologies (electronics for signal treatment, readout, data transmission protocols, calibration, data acquisition and storage); The workshop will start with a welcome aperitif at the Palais Neptune Conference Centre at on April 21, and will finish at on April 24. Invited plenary presentations will focus on results and news from the AMANDA and ICECUBE neutrino telescopes at the South Pole, the ANTARES, NEMO, NESTOR and Lake Baikal neutrino telescopes. Invited talks will also focus on European research infrastructures, progress in large scale cabled deep sea observatories. Results from Gamma Ray telescopes and the AUGER cosmic air shower array will be presented. 4 Three parallel sessions are organized for April 23 Parallel Session on Physics: Conveners: S. Bradbury (Leeds) and A. Kappes (Wisconsin & Erlangen) Non-exhaustive list of topics: Data from existing neutrino telescopes, sensitivity to astrophysical sources, telescope performance simulation, analysis tools. Parallel Session on Photodetection: Conveners: S. Henry (CPPM Marseille) and M. Taiuti (INFN Genova) Optical sensors including photomultipliers and hybrid photon detectors, also PM bases etc. Participation from scientists involved in sensor R&D and also from sensor manufacturers. Parallel Session on Engineering for Deep-deployed Neutrino Telescopes: Conveners: P. Kooijman (NIKHEF & Utrecht) and P. Piattelli (INFN LNS, Catania) Non-exhaustive list of topics: Problems and solutions for non-corrodible structures, electrical and fibreoptic connectivity, underwater mateable connectors (optical, electrical, hybrid electro-optic), construction and maintenance of deep sea cables, data readout and long distance data transfer techniques, large scale projects, sea floor and sea surface infrastructures, deployment and recovery strategies, on site calibration including acoustic position and triangulation. Participation from scientists and engineers involved in telescope engineering issues and also from manufacturers of deep sea cables and connectors, data transmission systems, deep sea sensors and providers of deep sea services, including the operation of remote control work-class submarines. Contribution Submission The workshop website includes an automated system (INDICO) to receive abstracts and workshop registrations. To upload your contribution you will first need to register as an INDICO user. INDICO will use your ID and a password of your choice to identify you, allowing you to upload your abstract, your presentation and your final paper for the workshop proceedings. Upload of Presentation Slides Please note that although wireless internet will be available at the conference centre (see below), this is not a reliable way to present transparencies of your talk (due to any occasional bandwith problems that might arise). For this reason, the conference organisers need to have final copies of transparencies of all speakers of a particular session on the presentation (lecturn) PCs before the start of the session, to assure a rapid changeover from one speaker to the next. Rapid changeover is particularly important in the heavily subscribed parallel sessions on Physics and on Engineering for deep deployment neutrino telescopes.
5 To upload your presentation to the workshop INDICO web server (from which it will be copied to the presentation PCs by the workshop organisers), please use the following recipe; From the workshop web page ( click on the link 'Conference Tools', then log in to INDICO using the 'login' link at the top right of the page. When you are logged in you will notice that a new link 'My Contributions' has appeared in the list at the left. This link implies that your abstract will have been accepted into the plenary or parallel session and will have become a 'contribution'. This status will now allow you to upload your presentation. If you do not see a 'My contributions' link, please contact the workshop at vlvntcontact@cppm.in2p3.fr. If you are an invited speaker who has not yet submitted an abstract (you will not have an abstract listed against the title of your talk in the agenda), it is essential that you now do so urgently. To upload your presentation, - Click on the link 'My Contributions'. A new page will open with the title(s) of your contributions listed. - Click on the title of your presentation. A new page will open, showing the title, abstract and author list. - Click on the button 'MANAGE MATERIAL' (you might have to scroll sideways and down to find it) A new page will open, allowing you to upload files. -For presentations, select the type 'slides' and use the browse facility to locate the file. - Click on SUBMIT to upload the file. After uploading, your presentation will be publicly-accessible in the detailed agenda ('Conference Tools' ==> 'Timetable/Detailed Agenda inc. abstracts') behind a link 'SLIDES'. Please note that you can upload revised versions of your presentation. If you do this, please delete the preceding version to avoid confusion. You will have seen the option 'PAPER' in the upload options. You will use this at a later stage if you wish to upload a paper for inclusion in the conference proceedings in the journal Nuclear Instruments and Methods A (Elsevier) Details of paper formats and paper submission deadlines are given below in this final conference bulletin, which is accessible via the VLVnT08 main web page. Internet wireless access Wireless internet access will be available at the Palais Neptune conference centre. The user ID and security key will be made available to participants on arrival. Registration, Workshop Fee and Workshop Banquet Registration is possible via the workshop web page ( Registration is confirmed following receipt of payment of the workshop fee, which is 250 Euros for payments received before March 31, 2008 and 300 Euros thereafter.
6 The workshop fee includes a welcome cocktail on the evening of April 21, the workshop banquet at the Palais Neptune conference centre on the evening of April 22, all coffee breaks and a visit to the ANTARES neutrino telescope infrastructures at La Seyne sur Mer. The fee also includes a personal printed copy of the workshop proceedings, which will be published in the reputed journal Nuclear Instruments and Methods A. Two methods are available for the payment of the workshop fee (1) By bank transfer Workshop fees may be paid through bank transfer to the following account. Account Name and address: CNRS DELEGATION PROVENCE/CORSE AGENT COMPTABLE SECONDAIRE 31 CHEMIN JOSEPH AIGUIER MARSEILLE CEDEX 20 FRANCE International Bank Account Number (I.B.A.N): FR BANK Identifier Code (B.I.C.): BDFEFRPPXXX We strongly advise that institutes or companies sending more than one person to VLVnT08 combine these payments into a single bank transfer. A sum of 23 Euros should be added to the total transferred amount for bank fees, if the funds are transferred from outside France. Please also group payments for any discounted car parking (see below). Please indicate your institute/company name and the person(s) to whom the payment relates, stating clearly also that this payment is in respect of the VLVnT08 conference. In addition, please send a confirmatory to vlvntcontact@cppm.in2p3.fr. This will help us track your payment. It will take one month for our account to be credited, so please ensure with your bank that the transfer is made before March 22. In any case, please bring proof of the transfer from your bank, and give this to the Workshop secretariat in Toulon. (2) Credit Card Payment Payment of the conference fee, the conference banquet for accompanying persons and reduced rate car parking at the Palais Neptune conference centre are possible via credit card. The workshop web page ( follow the link On-line payment. This will open a link to the EXTRANET conference secure payment system. Scroll down to the link for the VLVnT08 conference, and click on the country flag for the language (French or English) that you wish to use for the transaction processing and the issuance of your credit card receipt. The first step is a pre-registration with EXTRANET. (NOTE: EXTRANET is separate from INDICO, which does not yet have payment facilities). Your EXTRANET preregistration will be validates (this required human intervention) and you will receive an e- mail containing a link which you can click to activate the second stage Confirmation of a pre-registration. In this stage you will be directed to a secure server where you can enter credit card details. You will receive two s from the system, one of which will be a facture (bill) and the second, which will be a receipt for your credit card payment.
7 Attendees are strongly encouraged to bring confirmation of payment with them to the workshop. Accompanying Persons The fee for accompanying persons attending the workshop banquet is 50 Euros. Accompanying persons should register as such on the workshop web site for badge access to the Palais Neptune conference centre, where the banquet will be held. Access and parking at the Palais Neptune conference centre. The Palais Neptune Conference Centre is located near the port area in the South-eastern section of down-town Toulon (see map), and is alongside the Centre Mayol Commercial (Shopping) Centre. There are many small restaurants nearby, where lunch can be taken. The Toulon central train station is about 10 minutes away by taxi. The conference centre around two hours drive from Nice and Marseille airports, or about 30 minutes drive from Toulon-Hyeres airport, which handles a small number of domestic French and European flights. Car parking at the preferential rate of 9 Euros per day is available but must be reserved in advance to allow the printing of daily magnetic badges allowing multiple entry to the Lafayette parking below the Palais Neptune conference centre. Participants wishing to use this preferential rate should reserve indicating the driver(s) name(s) and the number of daily badges needed. Payment for parking can be added to the total transferred to the Workshop account or made in cash to representatives of the Palais Neptune conference centre on arrival, providing the reservation has been made in advance. Accommodation Participants are requested to arrange their hotel accommodation. A list of nearby hotels, including some within walking distance of the Palais Neptune Conference Centre in Toulon, is available through the workshop web pages. Please be advised that the workshop dates fall within the school vacation period of regions of France and also of other European countries. Hotel accommodation will become scarcer and more expensive as the workshop approaches. Workshop Secretariat A secretariat will operate at the workshop for final registration (payment of Workshop fee by credit card only), and to help with local issues such as accommodation and transport etc. The secretariat address is vlvntcontact@cppm.in2p3.fr. Excursion Visit to local ANTARES infrastructures at Foselev Marine, and the IFREMER Mediterranean Base, (Port de Bregaillon, La Seyne sur Mer) A visit to the ANTARES final assembly facility (based at Foselev Marine, Port Bregaillon) and the IFREMER Mediterranean Base will take place, departing from the Toulon Port around on April 23. The combined visit and transport will take between 3 ½ and 4 hours before arrival back at the Toulon Port.

9 Workshop Proceedings The workshop proceedings will be published in the reputed journal Nuclear Instruments and Methods in Physics Research A (published by Elsevier Science bv). Submitted papers will be reviewed before publication. Maximum Length: 8 pages, standard NIMA for invited plenary talks 4pages, standard NIMA for contributed talks to the parallel sessions Please, at uploading time, select PAPER as the material type in the INDICO menu Two documents have to be uploaded: PDF version of the paper. TAR or ZIP archive containing all needed files (i.e. TeX or WORD file, figures, etc.) The deadline for submission of papers to the reviewers is June 30, Manuscripts should by preference be written in LaTeX using the NIM-A elsart3p.cls document class. The document class, as well as layout styles and tutorials can be found at from Elsevier. TeX and LaTeX is available for any Linux distribution. For Windows a free and well done TeX implementation can be found here. (We will prepare a WORD two-column template for non-latex users, which will be linked to the workshop web page.)
