1 INSTRUCTION SHEET TOP SURVEY TOP SURVEY INSTRUCTION SHEET Overview For nearly 40 years, the ACA has surveyed member agencies and conducted the Top Collection Market Survey. This survey provides critical feedback to the collection industry. Information in the annual report generated includes annual dollar volume of gross collections and new business in the selected 2 month period, average balance, number of accounts placed, average age at time of placement, average percent of commission, recovery rates, and healthcare claims and formatting practices. This information is organized according to specific market of origination, such as cable TV, checks, child support, credit cards, clinic, property management, student loans, various utilities, veterinarians, etc. Forty different market segments were included in the 2003 Report. Collecting this data can be time consuming for both the ACA and the agencies providing it. For this reason, the ACA requested companies such as ours to look at modifying their products to support automated data collection. TCM agreed, and Debt$Net has now been modified to flag clients for inclusion in the report. For this, new fields were added to the Client screen on the MISC tab. Users wishing to participate in the survey can set up clients and generate the ACA report according to the following instructions. NOTE: The initial survey has been scheduled by the ACA for January Please follow instructions by the ACA for actual timing and instructions for submitting the file. Requirements You must be running Debt$Net Release 6.9, and have downloaded the latest patch. You must also have access to the Internet in order to forward the electronic file to ACA. 2 Setting up Clients To set up a client to be reported, open up the Client Inquire/Change Form. Click on the Misc. tab at the bottom. There you will see two new fields, Market: and Service: below a label ACA Top Market Survey (Figure ). Figure. Client Inquire/Change Form, Misc Tab. Select an industry segment from the drop down box for Market:. This should represent the types of accounts usually sent to you by this client. Options include: Auto 2 Banks and Finance 3 Telecom and Utilities 4 Checks Commercial 6 Credit Cards and Retail 7 Credit Unions 8 Healthcare Hospital 9 Healthcare Non-Hospital 0 Government Student Loans 2 All Others 2 Copyright 2006 The Computer Manager, Inc.

Options include: Primary 2 Secondary 3 Tertiary or Later 4 Purchased Debt Pre-Collect 6 Legal Repeat this set up process for all clients that you wish to include in the Top Market Survey. Generating the Report File At the appropriate time indicated by ACA, you can generate the electronic report of accounts placed by market and service. From the Admin Menu, choose Agency Management, then Agency Analysis, then ACA Top Market Survey Report (Figure 2). Figure 2. ACA Top Market Survey Report Menu Option. 4 Figure 3. ACA Top Market Survey Report Form. Enter the reporting period as instructed by the ACA for the survey. Then hit the Finish button. You will be prompted for the directory where the file will be saved (Figure 4.) The default directory will be the same as the directory where Debt$Net is installed. Figure 4. ACA Survey Output Directory Screen. Hit the Select button to accept the default location, or use the drop down box at the bottom of the pop up screen to select an alternate directory.
