1 Prepa Tec Los Angeles Middle School (2665 Clarendon Ave.) Inclement Weather, Natural Disasters & Other Emergency Plan Due to inclement weather, natural disasters, or other emergency situations, it may be necessary to close school(s) for the entire day, to open school(s) two hours late, or to close two hours early. The procedures used in school closings are detailed below. Keep this information in a convenient location for future reference. Parents are urged to make arrangements now for the care of their children when schedule changes are made (and to provide for the rare situation when it is necessary to close an individual school because of a power failure or other circumstances). Children should know where to go or what to do if a parent will not be or is not home. Decisions on schedule changes are made after careful consideration of the best information available. PTLAMS staff members consult with the following organizations when gathering information about potential or actual weather events, natural disasters, or other emergency situations: National Weather Service (updated weather forecasts) California Department of Transportation (mobilization plans and status updates of road clearing efforts) Los Angeles County Emergency Operations Center (road conditions and accident reports) Los Angeles County Police Department (road condition reports) PTLAMS Administrators (on the road checking conditions at schools) PTLAMS Transportation staff (on the road checking road conditions throughout the county) Other school systems in the region (information sharing and plans for schedule changes) Typically this information gathering begins by 2:30 a.m. so that we can meet the decision and notification time frames described below. Unfortunately, the timing of many weather events, natural disasters, or other emergency situations is such that we have to make decisions based upon forecasts as the concern might not begin until later in the day. While no sources dealing with weather events, natural disasters, or other emergency situations predictions can be infallible, decisions are made with one overriding consideration the safety of the students who ride buses, drive cars, walk to school each day, participate in outdoor activities, etc. PTLAMS has several schedules set up to deal with weather events, natural disasters, or other emergency situations. These are put into effect when conditions threaten the safety of children and PTLAMS and/or staff members. These schedules are: (1) Implement Alternative School Daily Bell Schedule. (2) Keep schools closed. (3) Open two hours late. (4) Close two hours early. As soon as a decision is made to implement one of these changes, the information may be found on the PTLAMS website - and/or Facebook. Phone notifications will be made through our RoboCall system. Parents, please make sure to have your contact information updated on your child s emergency form at school. Our RoboCall system pulls information from our Student Information System. Employees need to make sure their contact information is current as well. 1

2 We try to make a decision by 4:30 a.m. when schools will be closed all day or will open two hours late. This gives us 30 minutes so that the public announcement can be posted and reach all media outlets by 5:00 a.m. On some occasions, it is not possible to make these time frames as weather events, natural disasters, or other emergency situations can change unexpectedly. On some other occasions, the school system has been able to make a scheduling decision the day before so that parents, staff members, and students know what will happen the following day. When schools are closed for the day, the following will apply: Extracurricular activities, interscholastic contests, team practices, field trips, after-school programs, adult and community education classes, professional learning and training courses, and recreation programs in schools and on school grounds are canceled. School Age Child Care (SACC) centers are closed. When schools open two hours late, the following will apply: Offices will open on time. Family / Adult Education classes are canceled. Morning field trips are canceled. When schools are closed two hours early due to worsening weather conditions during the day, the following will apply: The announcement will be made by 10:30 a.m. whenever possible. Elementary, Middle, and High Schools will close two hours earlier than the usual time. Family / Adult Education classes are canceled. Extracurricular activities, interscholastic contests, team practices, field trips, after-school programs, adult and community education classes, professional learning and training courses, and recreation programs in schools and on school grounds are canceled. Administrative Procedures If the following weather conditions develop, please refer to the responses below to ensure the safety of all students and school employees: * If all inclement weather, natural disasters, or other emergency situations occur between 12:00 midnight and the early daylight hours then: A decision will be made to delay school by two hours and communicated via the PTLAMS website - and/or Facebook. Phone notifications will be made through our RoboCall system. If inclement weather, natural disasters, or other emergency situations persist, a cancellation announcement may be made on the PTLAMS website - Facebook, and/or phone notifications through our RoboCall system by 8:00 a.m. * If a forecast for inclement weather, a natural disaster, or any other emergency situation is in progress at sunrise, then: A decision will be made by 6:00 a.m. to delay school for two hours or to cancel school for the day depending on the severity of the storm. During the two- hour delay, the inclement weather, natural disaster, or other emergency situation will be monitored closely. If conditions continue to improve, the delay will be held on schedule. If the inclement weather, natural disaster, or other emergency situation worsens, then school will be cancelled for the day. A decision to cancel school may be announced on the PTLAMS website - Facebook, and/or phone notifications through our RoboCall system by 8:00 a.m. 2

3 Bus Driver Responsibility: If inclement weather, natural disasters, or other emergency situations are present at the time bus drivers would normally begin their routes in the morning, they should monitor one of the above listed communication platforms (the PTLAMS website - Facebook, and/or phone notifications through our RoboCall system ) where school delay and cancellation decisions will be announced. Under these circumstances, a driver should not leave home before 6:15 a.m. If an announcement is not made and a driver is still doubtful about safety, then the driver should call one of the following people before he/she begins the route for the day. Xavier Reyes 1 (323) Barry Baxter 1 (818) Lupe Mendez 1 (323) / 1 ( 323) In this situation, the administration of the Alta Public Schools system would prefer that the driver get to school a few minutes late rather than to begin the route without official knowledge of the inclement weather, natural disaster, or other emergency situation plan. Administrative Guidelines: In the event of a two-hour delay for students, staff should report to school at the regularly scheduled time. Staff members who feel they cannot safely reach school by the regularly scheduled time may call their supervisor to work out an acceptable alternative. In the event of a two-hour delay for students AND staff, staff members should report to school two hours later than the regularly scheduled time. The staff member and the supervisor will work out schedule for the two hours to be made up. In the event school is cancelled for students, staff members should report to work at the regularly scheduled time. Again, staff members who feel they cannot safely reach school by the regularly scheduled time may call their supervisor to work out an acceptable alternative. If the announcement states that school is cancelled for students with an optional workday for staff, staff members should report to school at the regularly scheduled time OR plan to take a day of annual leave. Again, staff members who feel they cannot safely reach school by the regularly scheduled time and do not have any annual leave or who do not want to use any annual leave may call their supervisor to work out an acceptable alternative. If the announcement states that school is cancelled for staff and students, everyone except twelve-month employees stays home and the day is made up. Twelve-month employees may report to work at the regularly scheduled time or they may use a day of annual leave. 3

4 Nutrition PTLAMS Inclement Weather Policies Rain!/!Cold 25!/!Heat!95! Nutrition will take place in the classroom of the teacher that is responsible for the cultural celebration event - for example; if Ms. Marquez is working with 7A for the cultural event then 7A remains or returns to her room for Nutrition & Lunch/Recess... If Ms. Mack is working with 8B for the cultural event then 8B remains or returns to her room for Nutrition & Lunch/Recess... If Ms. Rojas is working with 8D for the cultural event then 8D remains or returns to her room for Nutrition & Lunch/Recess. Unfortunately, there is not enough staff to help with coverage for the short 20-Minute Nutrition Break, so Teachers will need to supervise that Break in their classroom on those infrequent inclement weather days. For Lunch/Recess, the Teacher Assistants, and/or the Front Office Personnel, and/or the Parent Coordinator(s) will rotate around the classrooms to provide a 20- Minute duty free lunch for all teachers. Lunch Schedule will remain the same. 5 Heat When the temperature hits 95 and above the school is placed on inclement weather for heat. This simply means that all PE activity must be modified for limited activity. Lunch and Nutrition must also have limited activity. No sports equipment will be allowed on the yard. 5
