9 Districts District 6 Located in the Capital City Springfield, IL

LAND OF LINCOLN Home to: Abraham Lincoln Presidential Museum Springfield, IL

PROJECT IMPLEMENTATION Highways, Transit, Freight and Passenger Rail, and Aeronautics

Dist 6 / multiple locations In person Telephone Virtual Meetings Texting Radio ArcGIS Online

Designers Juggle Many Projects #1 GOAL MAKE LETTING DATES Deliver Construction Plans, Specifications, and Estimates

IDOT MULTI-YEAR PROGRAM MYP 6 Years 100 Annual Program in The district 250 MYP Program in the district 175 Unfunded Projects but actively working on

HYDRAULICS LAND ACQUISITION AGREEMENTS GEOMETRICS UTILITIES BRIDGE OFFICE ENVIRONMENT DESIGNER / TEAM MANAGER THE MIDDLEMAN GEOTECHNICAL PROGRAMMING

ATTRIBUTES 75 Attributes concerning all support sections to track Thousands of questions between all projects If one item not addressed in time, may not go to letting MAKING LETTING DATES

PREVIOUS TRACKING SYSTEM (Access) PROS CONS We had a tracking system For it s time, it was very good Good reporting capabilities Not Spatial Only one person could make entries Very complicated system Personnel only got hard copy updated 4-5 months No electronic access to system for personnel

NEW SYSTEM GIS Online for project tracking

NEW SYSTEM Graphical / Spatial Multiple Editors Live Data available to all Everyone has access any Time anywhere

UPPER MANAGEMENT MIDDLE MANAGEMENT Once Designers and Project Engineers gather all information, the data is pushed out to all District Employees PROGRAMMING ALL SUPPORT SECTIONS OTHER BUREAUS

EXPLORER Desktop Tablets Smart Phones Anyone can Access project data COLLECTOR Anytime, Anywhere

Additional AGO Uses Survey Monument Records Highway Permits Utility Permits Guardrail Inventory Historical data ADA Structures Collector for field checks No time to discuss detail Viraj to discuss how system works in GIS

System basics Our Philosophy KISS (Keep It Simple Stupid!)

Data Elements Utilized Lines Data Points

Base Data Summary Our Programming Unit provides the base data Geospatial data Non-geospatial data Basic information ranges from: Funding year Scope Project limits Key Route Stationing, & more

Utilizing Programming Data Basic data from the Programming Unit is pulled in to generate a customized table that refreshes and replaces itself every 24 hours. Few other processes run when an update takes place. The Programming data contains spatial begin and end stationing (Key Route info). Unique identifier or key that we used is called PPS Number.

Automation (Lines) The geospatial data (lines) shows the physical length of the project. Dynamic Segmentation This process run every 24 hours based on Key Route Stationing. Denormalization This process is utilized to reduces data redundancy and flattens records. Update tasks These processes can range from auto-generating a notification (when a new line item is created) to various data formatting.

Automation (Points) Spatial points Figure 1 System generates a point that is automatically placed on the beginning of each key route station on a spatial project. Non-spatial points System generates a point that is automatically placed on a user defined location (outside of the District Boundary) when a nonspatial project is created. Figure 2

Automation process Studies & Plans Unit also maintains an internal table which is currently updated by the Project Engineers. The S&P table is merged with the Basic Data (PPS) to ultimately create a merged layer. S&P TABLE BASIC INFORMATION (PPS) This merged layer contains spatial and nonspatial data. GIS COORDINATOR This mash-up of data allows for filtering. GIS Coordinator who maintains the GIS Online maps will dish the information out to the end user securely. DESIGNERS

Automation process Once the Studies & Plans Engineer receives the notification, he assigns the job to a Project Engineer. The Project Engineers then assigns the jobs to Roadway Designers. Project Engineers Studies & Plans Engineer Notification

AGO Groups and Permissions ArcGIS Online Groups allows the GIS Coordinator greater control over permissions. The Groups allow the Coordinator to deliver individualized production data & ancillary data to the designer. This method of data delivery allows for a ONE-STOP SHOP Production data can be the live data that Project Engineers track. Ancillary data can range from Roadway info., (Condition Rating Survey, AADT, Traffic Data, etc.), to Field Personnel contact information, and much more. Figure 1

GIS System Work Flow Database FME Server Dynamic Segmentation SDE ArcGIS Server AGO End User

Individualized Data Management Requires Multi-Level Involvement

Desktop Reporting SDE level access allows users to run reports in ArcMap. Reports can be custom made according to individual needs. Here is our S&P Check Sheet Report as an example.

Simplicity! Key To Success Web-based platform Custom reporting tools You DO NOT need to be a GIS professional to use this system. Great support from Central Office Middle & Upper Management support Need for GIS Coordinators at the District level

GIS Coordinator This type of GIS based system has a need for an official GIS Coordinator. The Coordinator will create and maintain individualized AGO maps for the end users. This individual will set permissions and customize the deliverables. The Coordinator will also reach out and communicate with individual units within the organization to help them connect in.
