16 SOP for CIMS PROCEDURES: A. Acquisition of Chemicals 1.The purchase, transfer or use of any chemicals that is not on the existing inventory for the laboratory must have prior approval from the Lab Supervisor/Principal Investigator (LS/PI) prior to purchase or use. 2. The purchase of chemicals followed the standard operational procedure of Directorate of Facilities and Property of IPB. B. Inventory 1.The Department of Chemistry will use the CIMS software system to manage its chemical inventory. 2. This inventory system will treat all containers as full until the substance is completely used up. There will be no attempt to track consumption of chemicals until the container is completely empty. 3.Each division in the Department of Chemistry will maintain an inventoryon all of the following types of substances used within the facility: 1. Flammable liquids 2. Flammable gases
17 SOP for CIMS 4. Each Division of Department of Chemistry will administer the CIMS software system, which includes the following duties: 1. Supplying pre-printed bar-code labels 2. Labeling chemical reagents 3. Providing CIMS training and instruction manuals to users 4. Technicians will use the CIMS system to maintain an inventory of these substances 5.The inventory record system may contain the following information: 1. Name of the chemical (both the common and scientific names, if aapplicable) 2. Location where the chemical is stored 3. CAS number of the chemical 4. Source purchased (local/overseas) 5. Physical form (liquid/solid/gas) 6. Unit capacity of container/packaging 7. Max quantity stored at any one time 8. Quantity available 9. Name of owner/person in charge 10. Date of purchase/preparation 11. Transfer of ownership
18 SOP for CIMS 6. Receiving Chemicals, technician or designee will: 1. Apply one of the pre-printed bar-code labels 2. Enter the chemical into the CIMS system using the Add function 3. Store the chemical in an approved storage location based on the chemical properties listed in the MSDS 7. Search and withdrawal of chemicals If a Chemical Inventory System is used, users can log into the CIMS system to search and locate the chemical. Any withdrawal of chemicals needs to be recorded in the CIMS system. Please key in the amount taken and update accordingly. 8. Chemical inventory check and stocktake The chemical inventory system is checked and stocktake is performed periodically, e.g. annually. 9. Transfer of chemicals to other departments or organizations Record any details of chemical transfer.
19 SOP for CIMS 10.Disposal of obsolete chemicals. Technician or designee will: 1. Remove the bar-code label and apply it to a disposal tracking sheet maintained by the Technician. It is recommended that this sheet be kept on a clip board with ready access to any lab personnel that may dispose of chemical containers. 2. Use the Dispose function in CIMS program to remove the chemical from inventory. 3. Remove or cover the manufacturer s container label and then either dispose or recycle the empty container as appropriate. 4. Obsolete chemicals are collected based on their chemical and physical properties and disposed through third party contactor C. Safety Precautions Users are required to wear the proper Personal Protective Equipment when handling chemicals.
